About the Job

We are seeking a detail-oriented and highly organized Virtual File Management Specialist to join our remote operations team. In this role, you will be responsible for maintaining digital file systems, organizing and securing company documents, and ensuring that data is stored, labeled, and retrieved accurately and efficiently. This position is critical to maintaining our compliance, workflow, and digital document integrity.

Responsibilities

  • Organize and keep track of digital files and folders.
  • Upload, label, and store documents in the correct locations.
  • Make sure files are easy to find when needed.
  • Follow company rules for naming and saving documents.
  • Remove old or duplicate files to keep the system clean.
  • Help team members access and share documents safely.
  • Keep files secure and private, following company policies.
  • Run regular checks to ensure everything is up to date.
  • Support team members with file system questions or issues.
  • Use tools like Google Drive, Dropbox, or SharePoint to manage files.

Requirements

  • High school diploma or equivalent; Associate's or Bachelor's degree preferred.
  • 2+ years of experience in file management, records administration, or a similar role.
  • Strong proficiency with cloud-based storage platforms (e.g., Google Drive, Dropbox, SharePoint).
  • Familiarity with document management software (e.g., DocuWare, M-Files, FileHold).
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to work independently and manage time effectively in a remote setting.
  • Understanding of data privacy and information security best practices.
